Overview

BravoTran sell side features enable both your users and our automation to make changes to the sell side information that will be passed on to your jobs. The main goal here is to remove extra touches from your users (particularly operators) that might otherwise have to spend time entering routine sell info after invoices are posted to the job in CargoWise.

Where can I view/configure margins?

All users flagged as admins have access to view and edit margins on the following page. It can also be found by navigating from your dashboard to Settings -> Sell Margins.

https://www.bravotran.com/app/settings/sell_margins

Margins can be configured at three levels:

  1. Base
    1. This configures the base margin that will be used if a more specific margin (below) is not found.
  2. Charge Code Group
    1. This configures sell margins for each charge code group in CargoWise. These will be used if a charge code specific margin is not found.
  3. Charge Code
    1. This configures sell margins by charge code, with the option to specify different margins for specific debtors. When both are set, debtor-specific margins will override general margins.

How does this all work?

If any relevant margin info has been entered in your settings this will be applied when new charge lines are created in BravoTran. Payables users reviewing/adding lines themselves will see this info being populated but will not be able to directly edit it unless they have the additional flag enabled to permit that. Operators will see the fields and can edit at their discretion before approving charges. This sell side information will then be transmitted to CargoWise after the invoice posting via a separate job update that should follow a few minutes later.

Note that charge lines associated with accruals created in CargoWise will not have their sell info overridden by the account's margin rules, and will instead use the sell info entered directly on the accruals. Users can still edit that info manually within BravoTran if needed and those changes will be passed on to CargoWise.

Which users have access to what?

Operators can always edit sell on their lines. Payables users can only edit sell if the "Can edit sell side information" flag is checked on their user in settings. Admins have access to the sell margins page to edit the default values used by automation, and can change the user flags to control which payables users have edit permissions.

Troubleshooting

Below is some additional info to help with complications you may encounter when working with sell side information.

How does BravoTran select the debtor?

A variety of data from both the job and charge code is needed to determine this:

  • From the job
    • The job must have a payment term set
    • The job must have a local client/overseas agent set
    • We must know the direction of the job: import, export, cross-trade, or domestic. We determine this from the port of origin, port of destination, and the home country for the account.
      • The first two characters of the port code are the country code.
        • If the origin and destination are the same: Domestic
        • If the origin is the home country and the destination is not: Export
        • If the origin is not the home country and the destination is: Import
        • Otherwise, it is cross-trade
  • From the charge code
    • The code must have a charge code group associated with it

We then reference the following rules from CargoWise to select a debtor:

If you find any cases where the debtor is missing or presumed incorrect, please first review all the relevant data above and let us know if this all looks correct but you're still encountering issues.

Why was the sell side information altered incorrectly?

There are many cases where CargoWise makes unexpected changes to the sell info even in situations where BravoTran has not transmitted any. A few scenarios are highlighted below that you can check but if additional assistance is needed please contact us at support@bravotran.com for further review.

Has the sell side update from BravoTran come through yet?

Remember that there is a small delay between the transmission of the posted invoice and the transmission of the update containing the sell side info. Verify in CargoWise that the latter update has been received or the info will not look as expected.

Is the resulting sell side info different than how it was shown in BravoTran?

If so CargoWise may have made unintended modifications to the job data at the time the invoice was posted. You can confirm this by checking the .xml file containing our update with the sell info we passed through. BravoTran tries to revert this kind of change and overwrite it with the intended info but it is not always possible to do so. Depending on the nature of what we'd need to change to make the info correct, sometimes this can result in BravoTran not being able to make a sell side update at all.

Was the sell side info shown in BravoTran wrong?

Please confirm that your margins are configured correctly, that users didn't make any unintended changes, and that a value was not entered incorrectly on an accrual in advance. Reach out to us if further clarification is needed.
